Set up Options Screen:
To get to the setup options screen go to Setup - Options
Setup Option Screen appears (General, Data Entry, Letters, Bulk Email, Dialing, Averages)
The first tab is the General Tab. General Information about your system is defaulted in this screen, there should be nothing to change on this tab. It shows the registered name, registration key, and the location of where the data files and patches are saved.
The second tab is the Data Entry Tab:
Begin Searching - The time in seconds is the amount of time Bowler TRAC waits after the last keystroke before the search begins.
Default Game Type - Options are Bowling, Billiards, Darts, Volleyball; select which type relates to your center.
Zip Code Lookup - is selected by default; where zip codes are used to fill in city, state, country and area codes
Default City - enter the city - used to minimize data entry.
Default State - enter state abbreviations - used to minimize data entry
Default Country - enter in country abbreviations - If most/all people in the database are from the same country, it is typed here to minimize data entry with every record added.
Default Area Code - enter in the area code. If most/all people have telephone numbers in the same area code, it is typed here. During the data entry, only the 7-digit telephone number would need to be entered, and the area code would automatically populate.
Default Permissions - OK to send mail, call daytime and evening phone, call cell phone and send fax - are already set to yes by default. This is because it is easier to modify records one at a time by un-checking a select few than to have everybody in the database not set up. You could possibly end up modifying hundreds of records for marketing purposes. This allows every person to be setup with these default permissions. The third tab is Letters:
Letters - Type in all the return address information of the bowling center for printing on marketing materials. Include bowling center name, address, telephone number, email address, and website address. When generating letters or labels, the user may choose to check the "invalid addresses" box to skip invalid addresses when generating letters or labels.
The fourth tab is Bulk Email:
Bulk Email - There are three ways information can be sent: Fulfillment vendor - one whom you will use to send out emails, flyers, etc. SMTP (text or html message) - built into Bowler TRAC (not used very often). When choosing this option you must be aware that there is no way of tracking email messages sent.
Microsoft mail merge to electronic mail - this is like using your own personal email client. i.e Microsoft Office. The fifth tab is Dialing:
Dialing - If Bowler TRAC is used to dial a phone number you can adapt it to your location. Set the dialing rules that fit your installation.
Local Area Code: Enter your local area code
For Local calls dial: If a number is needed for outside calls add it to the local calls rule.
For Long distance dial: If a number is needed for long distance calls add it to the long distance calls rule. If a suffix or password is needed for each user check the box next to the user dialing suffix.
Note that a suffix should be provided for each user on the setup users and passwords screen.
In locations that must use long distance calling to access some exchanges, add the exchanges to the list. This will enable Bowler TRAC to call these numbers with the correct dialing rules.
The sixth tab is Averages:
Averages - can be found in two different places in Bowler TRAC: People - Game Profile Tab or Leagues - Game Activity tab. The averages tab in the setup options screen allows you to set the criteria for which the average is based on,
Enter in the times in days. The highest average from leagues will be based on the amount of time in days entered.
Enter in the number of games the average will be based on. How Many games?
Game profile averages will be recalculated automatically each time you enter a league average for a person. However, if you have changed the options listed on the Average tab and want to recomputed the game profile average for all people now using the new option, you would click the "Recalculate All Game Profile Averages" button.
